Getting Started

ConviTutor is a comprehensive platform designed to bridge the gap between teachers, students, and parents by centralizing lesson content, progress tracking, communication, and payments in one place. It serves both individual private teachers and educational organizations like tutoring centers, music schools, and dance academies.

Click "Get Started Free" and register with your email, name, password, and date of birth (you must be 13 or older), then accept the Terms. You can also sign up with Apple or Google. After verifying your email, a short onboarding asks whether you're a student, teacher, parent, or creating an organization.

ConviTutor supports several user types: • Students - Learners enrolled in courses who can view lessons, submit tasks, and track grades • Parents - Can monitor their children's progress, view lessons, and communicate with teachers • Independent Teachers - Solo teachers who manage their own students and schedule • Organization Teachers - Teachers who work within a tutoring academy or school • Organization Owners - Full administrators of educational organizations • Organization Secretaries - Admins with configurable permissions (no teaching)

Yes — ConviTutor is free forever for up to 5 active students, no credit card required. The free plan also includes 1GB of storage; AI tools and group video are on paid plans. New independent teachers and new organizations start with a 14-day trial of Pro (Academy for organizations). Students and parents are always free. When your studio grows, upgrade to Starter or Pro (organizations use Team or Academy).

ConviTutor works in any modern browser on desktop, tablet, or mobile — and there are native apps for iPhone, iPad, and Android. Download them free from the App Store and Google Play; your account and data stay in sync everywhere.

After registration you pick your role — "I'm looking for a teacher", "I'm a teacher", or "I'm a parent/guardian" — then answer a few short questions. Students and parents finish in 3 steps; teachers in 4; creating an organization adds one more. It takes a couple of minutes. Choose carefully: your role can't be changed afterwards.

You must be 13 or older to create an account. Teachers, organization roles, and parents who create a managed profile for a child must be 18 or older. Younger children take part through a profile their parent creates and manages — the child has no login of their own, and the parent sees everything.

Account & Billing

New independent teachers and new organizations get a 14-day trial with no credit card required. Teachers trial Pro; organizations trial Academy. Paid add-on packs aren't part of the trial. When it ends, you land on the free plan — up to 5 active students and 1GB of storage — and any courses beyond those limits are paused (not deleted) until you upgrade. Teachers who join an existing organization use their organization's plan and don't get a separate trial.

When you reach 5 active students, you'll be asked to upgrade before connecting more. If you ever drop back to the free plan with more than 5, the extra courses are paused — not deleted — and reactivate as soon as you upgrade.

Your paid plan starts the day you subscribe and replaces the trial, so it's usually best to use the full 14 days first. You can upgrade at any time from Settings → Billing.

Payments are processed securely by Stripe. Students can pay with major credit and debit cards, plus any other methods Stripe offers in their country (such as digital wallets). Teachers can also accept cash or other offline payments from students and record them manually so everything stays in one ledger.

For teachers: • Free: up to 5 active students, 1GB storage — free forever • Starter: $14.99/month ($149/year) — essential tools plus AI session notes and quiz generation • Pro: $29.99/month ($299/year) — full AI platform: AI whiteboard, music notation, transcript summaries, group video calls, and recording For organizations (up to 50 teachers): • Team: $19.99/month ($199/year) with 2 teacher seats included, then $4.99/month ($49/year) per extra seat — scheduling, messaging, 1-on-1 video, and payments (no AI or group video) • Academy: $29.99/month ($299/year) with 2 teacher seats included, then $9.99/month ($99/year) per extra seat — full AI, group video, and recording AI actions, video call minutes, and storage scale with your plan. Monthly add-on packs for extra storage, AI actions, and group call minutes are available on paid plans (AI and call-minute packs on Pro and Academy). New teachers and organizations get one 14-day trial of Pro or Academy. Students and parents are always free.

Go to Settings → Billing to manage your subscription. You can upgrade, downgrade, or cancel at any time. If you cancel, you'll retain access until the end of your current billing period.

When a student pays a teacher by card, ConviTutor deducts a small Payment Protection fee — a flat amount plus a percentage — from the teacher's payout. It covers secure card processing and lets ConviTutor stand behind every card payment. Students always pay exactly the invoice amount; nothing is added to their bill. The fee doesn't apply to cash or other offline payments you record manually, and ConviTutor may waive it for some accounts.

Teachers can issue full or partial refunds of card payments from their payment history. Small partial refunds are processed right away; larger ones (including full refunds) are reviewed by ConviTutor before the money moves. Cash payments can't be refunded through the platform. If a student or parent believes a card charge is wrong, they can open a dispute on that payment within 60 days. The teacher has 7 days to accept it (which starts a refund) or decline it, in which case ConviTutor support reviews it. If the teacher doesn't respond in 7 days, it goes to ConviTutor support automatically.

Go to Settings → Payout Settings and click "Get Started". You'll be sent to Stripe to verify your identity and link your bank account. Once complete, your status shows "Connected" and students can pay you by card. From the same page you can open your Stripe Express dashboard to see upcoming payouts, update bank details, or review transactions. If you leave partway through, come back and click "Complete Setup" to resume. Teachers who belong to an organization don't set this up — payments go to the organization's account.

Stripe transfers your earnings to your bank account on its standard schedule for your country. You can see upcoming and past payouts in your Stripe Express dashboard, linked from Settings → Payout Settings.

Teachers see every payment received, revenue by course, and outstanding balances in Payments in the main navigation, and can export payments as CSV. Students and parents open a course and go to Billing & Payments to see the balance, upcoming invoices, payment history, and downloadable PDF receipts. For your ConviTutor subscription, go to Settings → Billing to view invoices and update your payment method through the Stripe customer portal.

For Teachers

Go to My Students and click "Connect with a student". Find them by email or share your invite code, choose the subject, and send the request — the course is created as soon as the student (or their parent) accepts. Requests expire after 7 days. If a student doesn't have an account yet, you can add them as a roster-only student and connect them later. You can teach the same student several subjects, each as its own course. Grade categories, schedules, and payment plans are set up from the course page afterwards.

ConviTutor uses a weighted grading system: 1. Create categories (e.g., Technique 40%, Theory 20%, Repertoire 40%) 2. Assign tasks to categories 3. Grade tasks on any scale (e.g., 0-100) 4. The system automatically calculates category averages and a global weighted grade

Go to Schedule and create a lesson by choosing a course, date, start and end time (15 minutes to 4 hours), and whether it's online or in person. For weekly lessons, set up a recurring schedule and ConviTutor creates the next four weeks of lessons for you; when you need more, click "Generate lessons" to extend it or set an end date up front. You can also add the recurring schedule when you first connect with a student. Your availability in Settings → Teacher Profile is what prospective students see and book consultations against.

Yes. Every lesson has a built-in video room with screen sharing, a shared whiteboard, and live captions — no Zoom or Meet needed. 1-on-1 calls are included on every plan; group lessons of up to 10 people are on Pro and Academy.

On Pro and Academy, teachers can record a video lesson. Everyone in the call is asked to consent before recording starts, and the recording then appears on the lesson page for the teacher and the students who attended (teachers also see all of theirs under My Recordings). Recordings also come with a transcript and an AI-written summary. A recording is deleted for everyone if any participant deletes their account.

The AI turns your work into finished materials: session notes from a lesson, quizzes from your content (Starter and up), whiteboard diagrams, music notation, and summaries of recorded lessons (Pro and Academy). Each plan includes a monthly allowance of AI actions, shown in Settings, and paid plans can add more with an add-on pack.

Yes. Each lesson is marked online or in person, and in-person lessons can carry a meeting location. Students can request to reschedule or cancel a lesson for you to approve, and your payment plan lets you choose whether no-shows are billed.

First connect your bank account in Settings → Payout Settings (powered by Stripe). Then open a course, go to its Payments page, and set a payment plan: per lesson, weekly, monthly, or quarterly. Per-lesson invoices are created when a lesson is marked completed; the other plans are invoiced automatically on schedule. Students pay by card and the money goes to your bank account, less the Payment Protection fee. You can also record cash or other offline payments manually. Teachers in an organization don't connect their own bank account — payments go to the organization.

Consultations are free 1-on-1 intro sessions. Once your teacher profile is public and approved, prospective students can book one from your profile using your published availability. You can confirm, decline, reschedule, or mark a consultation completed or no-show. After a completed consultation, click "Create Course" to send the student an enrollment request. You can turn consultations off in Settings → Teacher Profile.

Yes! Go to Lesson Templates to create reusable templates with pre-filled content, YouTube videos, tags, and files. When creating a new lesson, simply select a template to auto-populate the fields.

When creating or editing a lesson, drag files into the upload area or browse for them. Lessons accept PDFs, images (JPG, PNG, GIF, WebP), audio (MP3, WAV, OGG, M4A), and video (MP4, WebM, MOV) up to 500MB each. Music notation files (Guitar Pro, MusicXML) are added through the lesson's music notation editor and can be up to 5MB. Your total storage depends on your plan.

Students or parents who have paid for lessons can leave public reviews on your profile. You can respond to reviews and flag inappropriate content for moderation. Your average rating is displayed on your public profile in the discovery marketplace.

For Students & Parents

Use "Find a Teacher" to browse public teacher profiles. Filter by subject, location or online-only, price, minimum rating, languages spoken, age group, and whether they have an intro video. Each profile shows their bio, reviews, and availability. Sign in (or create a free account) to request a lesson or book a free consultation.

Go to My Courses and select a course. You'll see your overall grade, the breakdown by category, and every graded task with your teacher's feedback.

Link to your child's account from Settings → Family Connections using their invitation code or email, or create a profile you manage yourself for a child who doesn't have their own login. Then open My Children's Courses to see all their courses, lessons, grades, and study logs. You can message their teachers directly, and can be included in your child's course conversations.

Open the task from your course page, add notes or attach files, and click "Submit." You can edit your submission until the teacher grades it. After grading, you'll see your score and teacher feedback.

Find a teacher, open their profile, and click "Request a lesson". Sign in or create a free account, pick one of the teacher's available time slots, add an optional message, and send your request. Parents can book on behalf of a linked child. The teacher will confirm, adjust the time, or decline, and you'll be notified either way.

Go to your course and use the Study Log feature to record practice sessions. You can use a built-in timer or manually enter time and notes. Set weekly goals to receive reminders if you're falling behind.

Open your course and go to Billing & Payments. You'll see your balance and any open invoices — click "Pay Now" to pay securely by card through Stripe. Afterwards you can download a PDF receipt from your payment history. If you think a card charge is wrong, you can open a dispute on that payment within 60 days. Your teacher has 7 days to accept or decline it; if they don't respond, ConviTutor support reviews it.

For Organizations

During onboarding, choose "I'm a teacher" → "I want to create my own organization" and enter its name (plus an optional description, website, and phone). You become the Organization Owner with full admin access and can add a logo and other details in the organization settings afterwards. Organizations are created at sign-up — an existing independent teacher account can't be converted into one. Owners must be 18 or older.

Organizations have three member roles: • Organization Owner - Full control over settings, members, and billing; can also teach • Organization Secretary - Admin with permissions you choose (cannot teach) • Organization Teacher - Teaches within the organization Students and parents connect to your organization's teachers exactly as they would to an independent teacher.

Open your organization dashboard and click "Add Member". You can generate an invite code or link for teachers (or secretaries) to sign up with — set an expiry and how many times it can be used. Anyone who registers through it joins your organization in that role automatically. If someone already has a ConviTutor account, you can add them by email and they're added straight away. Your plan's teacher seats apply either way.

Your organization's "Public Organization" and "Show Pricing" settings apply to all of its teachers. Turn them off and none of your teachers appear in Find a Teacher; turn them on and all of them do. Teachers can't override these settings while they're part of your organization. Making your organization public triggers a quick review by ConviTutor before it appears.

Secretaries start with no permissions; the owner grants any combination of: • Manage Teachers • Manage Secretaries • Manage Students • Manage Schedule (create and change lessons) • View Payments • Manage Payments (record payments, send invoices, issue refunds) • View Reports • View Contracts

Yes. Organization Owners and Secretaries see an organization-wide calendar with every teacher's lessons, and can filter it by teacher. Changing lessons from there requires the Manage Schedule permission.

When you remove a teacher, their courses and students stay with your organization so you can reassign them, their access under your organization ends immediately, and their profile is no longer public. Your subscription's seat count updates on your next invoice.

Organization teachers get their role by signing up through the organization's invite link or code, and organizations are created during onboarding. An existing independent teacher account can't be converted into an organization account. If you'd like to move an existing studio onto ConviTutor as an organization, contact support and we'll help.
